Privacy Notice

Effective date:

Douglas Moore Engineering (“DME,” “we,” or “us”) uses information received through business inquiries to communicate with prospective customers about custom AI systems, existing DME systems, and related services. This notice explains how we handle that information and information associated with visits to dmesystems.global.

Information you provide. When you submit the inquiry form, we receive your name, email address, and any optional details you provide, such as your company, role, service of interest, project needs, budget, and timeline. The form sends this information when you select Send Inquiry; opening the form alone does not submit it. When you email DME directly, we receive your email address and any information or attachments you include.

How we use your information. We use inquiry information to respond, understand your needs, discuss potential work, arrange conversations, and prepare proposals. If you become a customer, relevant correspondence may become part of the engagement record. We do not sell the information you send us in an inquiry.

Storage and service providers. Netlify Forms processes and stores website form submissions, filters spam, and sends inquiry notifications to DME. DME uses Namecheap Private Email to receive and store those notifications and other business email. Correspondence and attachments may also be stored on devices used to access or manage that email. Our service providers process relevant information to provide their services. Information may also be disclosed when required by law.

Website hosting. Our website is hosted by Netlify. In providing hosting and security services, Netlify may process technical information such as IP addresses, requested pages, browser information, and request times.

How long we retain information. DME follows a data-minimization approach and does not retain inquiry or prospect information merely because it was collected. Information for a prospect that is not a fit, is no longer being considered, or has no continuing business purpose is deleted rather than kept for future marketing. For a high-potential prospect, DME generally limits retention to 90 days from qualification or the most recent meaningful business interaction. If you specifically ask DME to contact you at a later date, we may retain the minimum information needed for that requested follow-up through that date and a short follow-up period. During an active customer relationship, DME retains only information reasonably needed to perform the engagement. Certain executed contracts, accounting records, acceptance records, or other records may be retained separately when required for contractual, legal, tax, security, or dispute-resolution purposes. Copies in provider backups may remain until those backups expire under the applicable backup lifecycle.

Information to exclude from an initial inquiry. Please provide a general description of your needs. Do not send passwords, access credentials, sensitive personal records, or confidential datasets in an initial inquiry. If supporting information is needed, we can discuss an appropriate method for exchanging it.

Privacy questions and requests. Contact info@dmesystems.global with privacy questions or to request access to, correction of, or deletion of your personal information. We may need to verify your identity before acting on a request. We will handle requests in accordance with applicable law, including any permitted or required retention.

Changes to this notice. We will post updates on this page and revise the effective date. If applicable law requires additional notice of a material change, we will provide it.
